The Expertise We’re Looking For
- A bachelor’s degree strongly preferred or secretarial certificate/related work experience
- Must have 3+ years of executive assistant experience, strong PC skills including Microsoft office expertise (particularly Word, PowerPoint and Excel)
- Previous experience in a corporate environment
- Previous experience at a law firm or inhouse legal department is a plus
The Purpose of Your Role
As an important member of the Fidelity Legal Department, you will provide administrative support to a group of 12-20 attorneys and/or Legal staff. Your excellent communications and technical skills will be constantly put to the test, as will your ability to handle multiple tasks simultaneously as you serve as a focal point of a dynamic, fast-paced business environment. You would be joining an amazing team and have an opportunity to learn, be challenged, and grow.
The Skills You Bring
- Planning and scheduling for staff, including Zoom calls and webinars.
- Ability to be proactive and communicate effectively with all levels of Fidelity.
- Clerical administrative support including travel arrangements, expense reports, booking office space, and miscellaneous administrative tasks.
- Possess strong Microsoft Office software experience and have the aptitude to learn new technology quickly.
- Provide back-up support for other assistants within the group when needed
- Work with other business groups in Fidelity such as Accounts Payable, Corp Security, Real Estate, and Technology groups
- Light technical/troubleshooting support
- You will perform special projects, ad hoc requests, and other related duties as required, a few examples:
- Electronic signature setup and process management
- Event support: reserving event space, catering orders, Outlook invites, ensuring room setup is appropriate for event

- Creating and updating Microsoft Office suite of documents (e.g. Word, Excel, PowerPoint)

How Your Work Impacts the Organization
Within the Legal department, you will play a vital role in the company’s success, and those individuals serving in these positions are recognized by their colleagues as key members of their group, department, or organizational team. You will deal directly with and provide support to management at all levels of the organization and frequently deal directly with clients and business partners as well.
The hourly pay rate range for this position is $35.00-40.00 per hour.
Placement in the range will vary based on job responsibilities and scope, geographic location, candidate’s relevant experience, and other factors.
